How long should a UK business keep its records?

A limited company must generally keep its accounting records — invoices and receipts included — for 6 years from the end of the last company financial year they relate to. A sole trader must keep records for at least 5 years after the 31 January Self Assessment deadline for that tax year. VAT-registered businesses must generally keep VAT records for at least 6 years.

How long does a limited company keep invoices and receipts?

6 years from the end of the last company financial year they relate to, or longer in some cases. The clock starts at the end of the financial year, not on the date of the invoice.

GOV.UK lists when to keep them longer: if they show a transaction covering more than one accounting period; if the company bought something expected to last more than 6 years, such as equipment or machinery; if the Company Tax Return was sent late; or if HMRC has started a compliance check into it. HMRC can fine a company £3,000, or a director can be disqualified, for not keeping accounting records.

How long does a sole trader keep records?

At least 5 years after the 31 January submission deadline of the relevant tax year.

GOV.UK's example: if you sent your 2022 to 2023 tax return online by 31 January 2024, keep your records until at least the end of January 2029. If you send a return more than 4 years after the deadline, keep the records for 15 months after you send it.

How long do VAT records have to be kept?

Generally at least 6 years. Some records must also be kept digitally in software that works with Making Tax Digital.

HMRC may allow a shorter period if the 6-year rule causes serious storage problems or undue expense — you have to ask them. Some documents, such as the C79 import VAT certificate, must be kept in their original form.

Can I keep records digitally instead of on paper?

Generally yes — HMRC accepts digital records, and for VAT some must be digital. Keep them readable and complete for the whole period.

Torvane keeps the original file of every document you give it and lets you export everything at any time.
